Position Summary:
We are looking for a reliable and detail-oriented Scanning Clerk who also will serve as a backup for office services and marketing functions. This multifaceted role will support document management, general office operations, and the firm’s marketing efforts with thought partnership and other creative tasks. The ideal candidate is organized, tech-savvy, and comfortable working across departments.
Key Responsibilities:
Scanning Clerk Duties:
- Prepare, scan, quality check files and save documents to the correct folders in the firm’s document management system.
- Return files or place them in bins for shredding.
- Troubleshoot scanning issues.
- Maintain confidentiality and security of sensitive documents.
- Assist with filing, retrieval, and delivery of documents as needed.
- Assist with records management projects as needed.
Marketing Support Duties:
- Assist with graphic design and content formatting using, updating, and creating templates.
- Support event planning and coordination (e.g., invitations and reminders, catering, venue setup/cleanup, point of contact for questions, ideas for future events, etc.).
- Draft, publish and publicize press releases, client alerts, etc., both internally (newsletter) and externally (website/social media).
- Incubate ideas and execute them as appropriate with strong curiosity and creative sensibilities.
Office Services/Administrative Backup:
- Sort & distribute incoming mail.
- Post & bring outgoing mail & FedEx to the proper drop boxes.
- Complete printing/copying projects and send faxes.
- Answer and direct phone calls, take messages, and greet visitors.
- Handle other special projects as they arise.
Qualifications:
- High school diploma or equivalent; associate degree or administrative/marketing coursework is a plus.
- Prior experience in scanning, administrative, or marketing support roles preferred.
- Proficiency in Microsoft Office Suite; familiarity with Adobe Creative Suite is a plus.
- Strong attention to detail and organizational skills.
- Ability to multitask and adapt to shifting priorities; strong time management skills.
- Excellent communication and interpersonal skills.
- Proactive and ability to anticipate needs and exercise independent judgment.
Working Conditions:
- Office-based role with standard working hours.
- May involve prolonged periods of sitting and computer use.
- Occasional lifting of office supplies or documents (up to 25 lbs).
Job Type: Full-time
Pay Range: $50,000 to $65,000
